What you stop doing by hand
A small provider can lose an evening after every course typing names into certificates and sending them out one at a time. None of that is training — it is just admin, and it is where the mistakes come from. Here is what the system does instead.
Certificates for the whole class
- By hand: open the template, type in a name, save a PDF, attach it to an email, send it. Then do it again for the next person.
- Here: mark the class passed, create the certificates, email them. Three clicks covers the whole register — four people on it or forty.
Names spelt right by the person they belong to
- By hand: someone retypes a name off a booking form, gets it slightly wrong, and finds out when the certificate has already gone out.
- Here: every attendee gets their own link before the course and enters their own name. The certificate is built from what they typed.
Renewals that chase themselves
- By hand: someone has to remember to go back through last year's certificates. Usually nobody does, and the repeat booking never comes.
- Here: every expiry date is watched. The learner is emailed before it runs out, with your next course dates in the message, and their employer gets one digest listing everyone who is due. Either can stop the emails in a click. You do nothing.
The record keeps itself
- By hand: a folder of PDFs, and a search through old email every time somebody asks for a copy or an employer wants proof.
- Here: every certificate carries its own reference and a QR code anyone can check on a public page. Learners and employers download their own copies whenever they want, and every email the system sent is on the record.
Bookings, the register for the day and a feedback request to everyone on the course are in the same place. And you do not have to be a training company to want any of this — a club, a charity, or an employer training its own people issues certificates the same way, and gets the same reminders and the same records.
IQA and quality — evidence kept as you go
Record your internal quality assurance as it happens — standardisation meetings, observations, EQA preparation — with colleagues accepting or declining attendance in their own name and their own hours against each one. Findings and corrective actions run through to close-out, and your policy library reminds you when a document is due for review. An IQA activity can be credited as the trainer's CPD at the same time.

Are you a school or a Trust?
You do not have to build your organisation in Semseo yourself. Tell us your Trust and we set the whole structure up for you — the Trust, every school under it, and your staff attached to the school they actually work at — before you run your first course.

Are you a charity or a club?
Clubs, charities, CASCs, scout and guide groups, societies and voluntary groups can apply for our Community plan, which is free. It is the Essential plan under another name — the same twenty-three modules, with nothing to pay for them.

Your subscription covers the platform, however much you use it. A handful of features send work to an AI model, and those are charged by the run rather than built into the monthly price — so you are not paying for AI in the months you do not use it. In everyday use it comes to pennies.

Two of these run on their own rather than waiting for a button: translating your content, and the course review after an event has finished. Three further checks — new sign-up checks, listing checks and regulator research — are run for Semseo's benefit and paid for by us. They never touch your credit.

Most plans include a monthly AI allowance
The main subscription plans come with AI credit included every month. The free and entry-level tiers do not, and use pay-as-you-go credit instead. Either way you can top up from £5 at face value — £5 buys £5 of AI — and anything you buy stays on your account until you use it. Your exact allowance is shown on your AI usage page once you are signed in.
You cannot run up a bill
AI credit is prepaid. When it runs out the AI features simply pause until you top up. There is no overdraft, no automatic charge and no invoice arriving after the event.
You only pay when it works
Credit is taken after the AI comes back with a usable answer, never before. A run that fails costs you nothing.
You can see every penny
Every AI button tells you what that run will cost before you press it, and your account has an AI usage page showing the balance, this month's spend by feature, and the individual charges.
